User guide for the reference management software EndNote.

Frequent Problems 1

If all citations in the text appears unformatted (they look like this: {Nordmann, 2024 #53}), choose "Update Citations and Bibliography" from the EndNote-menu and the citations should change to formatted state. If the error message "Select Matching Reference" appears, check information about how to fix this in another tab on this page.

Sometimes new citations are not formatted normally when inserted into the manuscript and because of this are missing from the reference list. Example: {Nordmann, 2024 #53}.

The usual reason for this is that "Instant Formatting" in the EndNote menu is set to "Off". We do not know why this happens sometimes. You solve this in the following way:

1. Existing sources in your text are normal (formatted) but new citations are inserted unformatted.

2. Check the status for "Instant formatting" in the EndNote menu. Is "Off" set,  change to "On". EndNote will nor format all citations in the manuscript and all we be included in the reference list.

If all references in the text are unformatted and no reference list is available, choose  "Update Citations and Bibliography" from the EndNote menu til will format all citations back to normal.

The "Instant formatting" option has a purpose. If you have a large manuscript with many citations, adding a new citation will usually take some time because EndNote needs to format all citations in the whole document everytime. To avoid this, you can insert citations in unfomatted state (by chosing "Off" for instant formatting) and format all of them later (choosing "Update Citations and Bibliography") when you are finished. This will save you some precious time.

If the above didn't solve your formatting problem, contact the library.

Author name errors i citations and/or in the reference list are almost always caused by errors in the library reference in EndNote. This guide list some examples and how to fix them.

Two main rules for registering author names in your library:
1. Use the following format for author names: Last name, first name/initial (always put a period after the initial(s)).
2. A new line for each author name.

Some common errors:

I'm citing a reference authored by an organization and the author name is wrong in the manuscript:

Organization WH. The end of the world . Journal of Apocalyptic Predictions . 2012;10(2):12 6.

Solution: Organizations or institutions must be registered with a comma after the name for EndNote to understand that this is not a personal name.

This will make the reference correct:

World Health Organization. The end of the world . Journal of Apocalyptic Predictions . 2012;10(2):12 6.

Organizations with a comma as a part of the name should be registered like this with a double comma:

I'm using the APA style and some citations in the text get initials in addition to last name:

The author name in question here is the first author of the source.

If you have cited two different authors with the same last name, EndNote will correctly (according to the APA rules) try to separate them by using initials.

However, if the different citations are from the same author, check that the author name is added in the exactly same way in the references in your library. If not, make sure that they are identical in the references, save the references, and then update the citations in the manuscript. The initials should now disappear. To make this easier, we recommend that to copy the first author registration for one of the references, copy it, and then past it into the other reference. This will ensure that they are registered identically.

 

Author name is wrong with last name as initials and full first name:

Ola N, John D, Paris H. Author failure in EndNote . Journal of EndNote Education. 2010;1(1):123 6.

Solution: In the library: Comma is missing between the last name and the first name/initial. Correct form is: Nordmann, Ola

 

Author name is wrong with strange initials:

Nordmann ODJH, Paris. Author failure in EndNote. Journal of EndNote Education. 2010;1(1):123 6.

Solution: This type of error is usually caused by several author names are registered in the same line. Each author name must have a new line. Give each author their own line and the problem is solved:

Nordmann, Ola
Doe, John
Hilton, Paris

Correct reference: Nordmann O, Doe J, Hilton P. Author failure i EndNote. Journal of EndNote Education. 2010;1(1):123 6.

Contact the library if you still have problems with author names in your manuscript.

Noen ganger kan vinduet "Select Matching Reference" dukke opp i manuset ditt. Siteringen i teksten som det varsles på vil være uformatert, og referansen vil mangle i referanselista.

Denne feilmedlingen kommer som regel i forbindelse med formatering av manuskriptet, og skyldes nesten alltid at det ikke lenger er samsvar mellom referansen brukt i manuset og tilsvarende referanse i biblioteket som nå er aktivt.

Årsaken til dette er som oftest at du har brukt flere bibliotek i forbindelse med skrivingen (som nå ikke er åpne eller er slettet), eller at du har slettet den opprinnelige referansen i biblioteket etter at du satte den inn i manuset og importert den inn på nytt senere (eller at du har fjernet feil dublett i forbindelse med dublettopprydding).

Løsninger:

I noen tilfeller finnes en annen versjon av referansen i biblioteket ditt og EndNote oppdager dette.

1. EndNote gir feilmelding på denne referansen som har EndNote-nummer #23.

2. En annen versjon av referansen finnes imidlertid i biblioteket, men har EndNote-nummer #130. EndNote skjønner ikke automatisk at dette er samme referanse, men viser den frem slik at du kan avgjøre dette.

3. Hvis dette er korrekt referanse, klikker du på den for å merke den og velger deretter "Insert". EndNote vil nå korrigere referansen i manuset og deretter formatere den som normalt. Er det flere referanser i samme situasjon, vil EndNote vise et nytt vindu for disse. Når alle referansene er korrigert, vil referanselista være oppdatert med disse referansene.

Noen ganger foreslår EndNote ikke korrekt referanse selv om den finnes i biblioteket ditt. Slett da årstall og # i feltet til venstre for "Find" knappen slik at det kun står forfatternavnet, og klikk deretter på "Find". Da vil referansen dukke opp og du kan oppdatere den (jfr. 2-3 ovenfor).

Mangler referansen i biblioteket ditt, kan du la "Select Matching Reference" vinduet stå og legge til den manglende referansen til biblioteket ditt. Slett deretter årstall og # i feltet til venstre for "Find" knappen slik at det kun står forfatternavnet, og klikk deretter på "Find". Da vil referansen dukke opp og du kan oppdatere den (jfr. 2-3 ovenfor).

Får du ”Select Macthing Reference” meldingen for mange referanser i manuset ditt, vil vi anbefale at du tar kontakt med biblioteket for å få bistand. Vår erfaring er at det fort oppstår en del følgefeil hvis man har mange referansefeil i manuset og det kan da være en fordel med profesjonell bistand.

Frequent Problems 2

This error message is usually caused by an installed Mendeley plug-in installed in Word. This plug-in may cause problems with EndNote's plug-in. The solution is to remove or deactivate the Mendeley plug-in in Word.

How to remove the Mendeley plug-in in Word

Contact the library if the problem persists.

In rare cases there might be a problem the causes the library not to open or you will get an error message when you try to open the library. We recommend that you contact the library for expert help if this happen. You may be able to google solutions for your problem, but some of these solutions may cause more harm to the situation.

Here are some examples and what to do:

You get a warning about opening the library without access to the associated data folder:

We advice against clicking "OK" on this message until you know what the cause for the message is. You may risk loosing parts of the content of your library if you do this.

This message may have its origin in you having removed the library file (the one ending with .enl) and forgotten that the associated data folder (ending with .Data) also have to be moved to the same folder as the former. If this is the case, choose "Cancel" and make sure that the library file (.enl) and the data folder (.Data) are located together in the same location (folder). Try to open the library again. This should fix the problem.

If the above was not the cause of the warning, we recommend that you choose "Cancel" and contact the library for help. If you choose "OK", a new data folder will be created. You references will be OK, but you risk loosing all your PDF-files, groups etc.

 

You get a warning saying that the library cannot be opened because it is used by another user:

Do not use the recovery function before you have checked out the reason for the warning! The library can help you with this if needed.

This error message may be caused by you working on the same library from different locations and forgetting to close the library in one of the locations before trying to open it in another location. If this is the cause, you need to close the library in the original locations to get access to it in the second location.

If the library is not open in another location, you can close EndNote and open til file manager. Find the folder with the library files (the enl-file and the data-folder) and copy both. Past the two elements in a new folder and rename both elements (remember that they must have the same name). You can now try to open the renamed library file. Usually this will fix the problem.

There is a recovery tool available that can help you open corrupted libraries, but we recommend that you do this together with an expert from the library as sometimes it is possible to save parts of the original library before using recovery.

Contact the library if the problem persists.

 

You get a message that the library cannot be opened or the library is corrupt:

If you get one of these error messages we recommend that you contact the library. There is a recovery tool available that can help you open corrupted libraries, but we recommend that you do this together with an expert from the library as sometimes it is possible to save parts of the original library before using recovery.

Occasionally, the EndNote menu in Word may disappear. This can be caused by different things and we advice you to contact the library for help to get the menu restored. Here are a few tips you can try yourself before contacting the library.

PC/Windows

Tip 1:

Close EndNote. Choose "File" in EndNote's main menu and "Options" in the blue side menu.

1. Velg "Add ins" (= "Tillegg" in the figure above).

2. Check that EndNote Cite While You Write (Cwyw) add-ins are located in the "Active Add-ins" window and not in the window for inactive add-ins.

4. If the EndNote add-ins are inactive, choose Manage: "Com-Add-ins" (= "Behandle:" in the figure above) and choose "Start".

5. Tick for "EndNote Cite While You Write" if this is not selected.

6. Finish with "OK" and "OK" in the next window.

Close Word and start it again. Check if the EndNote tab is back. If the above didn't work, check the next tip.

Tip 2:

Close EndNote, Word and other Office programs.

1. Open the File Manager and find EndNote's program folder.

2. Choose and run the file "Configure EndNote".

Follow the instructions in the next windows. When the configurations has ended, open EndNote and Word. Hopefully, the EndNote tab is back in Word. NB! The configuration doesn't affect you library.

Contact the library if the tips above didn't solve the problem.

MAC:

Close Word and other Office programs before following the instructions below.

1. Choose "EndNote 21" from the EndNote main menu and then "Customizer".

Follow the instructions in the next windows. When the configurations has ended, open EndNote and Word. Hopefully, the EndNote tab is back in Word. NB! The configuration doesn't affect you library.
