If you have a large library it may be useful to find references using EndNote's search options.
1. Highlight "All references".
2. Add search terms (you can search for anything, but more commonly author names or title words). The simple search will also search in the full text of attached PDF-files in your library.
3. References matching the search will be listed and search terms will be highlighted in yellow.
4. Choose "Clear search" when you are finished.
If you want to save the search result for later you can create a group and transfer the search to the group. See "Organizing Your Library" in the left menu for more information.
Highlight "All references" and choose "Advanced search" below the search box if the simple search is active.
1. Choose relevant search fields and type the search terms (only single words or phrases will work). It is not possible to use advanced search strategies.
2. It is possible to combine content in different fields using the Boolean operators AND, OR and NOT.
3. Choose "Search".
References matching the search will be listed and search terms will be highlighted in yellow. If you want to save the search result for later you can create a group and transfer the search to the group. See "Organizing Your Library" in the left menu for more information.
4. All fields in a reference are searchable. E.g., if you have added keywords to your references or tagged your references using the label field, you can limit your search to these fields. "Any fields" will search all content in a references except for the content in attached PDF-files. "Any Field + PDF with Notes" is the most extensive search available and will search in everything (this is the same as the simple search. "PDF-notes" allows you to search for comments/annotations added to your attached PDF-files using the embedded PDF-reader.
It is possible to create a Smart Group after a search by choosing "Convert to Smart Group" from the "Search Options" drop-down menu.
Importing references from different databases will often cause the same references to be added to your library several times (duplicates). It is important to avoid duplicated by deleting these before you start writing your manuscript. Worst case, duplicates may cause references in your reference list to be duplicated.
EndNote has a duplicate check that quickly can identify duplicates in your library. Please note that this duplicate check is imperfect and may overlook some duplicates.
1. highlight "All references".
2. Choose "Library" from the main menu and "Find Duplicates" from the drop-down menu.
3. EndNote will identify duplicates and open a window for each duplicates where you can check the two versions and decide which one you want to keep in your library by choosing "Keep This Record". The rejected version will be deleted. This is repeated until all duplicates are checked.
If you have many duplicates it takes a lot of time to screen all of them one at the time. It is possible to delete all duplicates in one operation. The disadvantage of this method is that you cannot decide which version that should be deleted (usually the oldest version will be kept in the library and the other will be deleted).
Follow steps 1-3 above, but choose "Cancel" in the first duplicate windows that opens.
4. All duplicates are listed and the most recent versions are highlighted.
5. Choose one of the highlighted duplicates, press down the left mouse button and drag all highlighted duplicated into the thrash on the left pane (you will get a +-icon when you can drop the references into the thrash). When you release the left mouse button, all selected duplicates are deleted from the library.
EndNote has an embedded PDF-reader that has several functions in addition to displaying the PDF-content.
1. Highlight a reference in the library that has a PDF-file attached and choose the PDF-tab on the top right pane.
2. It is possible to enlarge the PDF-reader to full screen mode.
3. If you open the edit menu you can add notes or color labeling of text in the PDF-file.
4. The menu has also options for saving changes, print the file or open the file in another PDF-reader.
