Creating an EndNote Library

EndNote can be found under "E" in the Windows menu or you can search for it (1-2). If you choose  "NTNU [A] (NTNU Porgramfarm) (3), EndNote is run from a remote server and not from your desktop. If you use this alternative, Word and web browsers also must be run from the server (NTNU Programfarm) to be able to work together with EndNote.

The following opening window will be displayed when EndNote is opened:

4. Choose "Create New Library".

5. Choose a new name for your new library if you want another name than the default ("My EndNote Library" is the default name).

6.Choose a location on your hard drive (C:) or on a server and choose "Save". NB! Du not save and run an EndNote-library from a cloud service like OneDrive, Dropbox, iCloud and similar as this may damage the library files. Information for Mac-users with units where all folders are synchronized with iCloud.

7. The new EndNote library consist of two elements. An enl-file (library file) and a data-folder with the same name as the library file. These two elements must be located together in the same folder for the EndNote library to work properly. NB! Do not save any files manually in the Data-folder!

EndNote will by default open the last library used. You can change this in the main menu using "Edit (PC) or "EndNote 21 (MAC) and then choose "Preferences" (in some MAC OS version "Settings" is used) and finally "Libraries".

NB! We recommend that you use one EndNote library. Our experience is that EndNote users sometimes get in trouble when having to navigate between several libraries. If you have a large library and need to sort or organize your references, you can use EndNote's options for tagging references or making subgroups with references within the library.

A back up of your library should be created regularly.

1.Go to the File-menu.

2. From the File-menu, choose "Compressed Library".

3. You can choose to nclude attachments (your pdf-files) or not in the back up. We recommend that you do this.

4. Choose "Next".

The back up file (with the file ending .enlx) should be stored outside the hard drive. It is OK to store the back up file in a cloud service  as long as you remember to copy it to a hard drive if you need to upack it and run it.

You unpack and open a back up library file using: File --> Open Library. The back up file has the file type "enlx".

The back up file can also be used if you need to move your library between machines or if you need to send the library somebody.

EndNote has a cloud service named  EndNote Online that allows you to store and synchronize your desktop library in the cloud service. This can be used as a back up of the hard drive library, but also if you need to access your library from different computers. An EndNote Online-acount  must be created to gain access to this service.

You can only synchronize one EndNote library from your desktop version. If you use this to synchronize your personal library, you cannot use this function later to create and share another library for library sharing (or opposite).

How to create an EndNote Online account

Choose "Edit" from EndNote's main menu and then "Preferences" (MAC users find this sub-menu under "EndNote 21").

1. Choose "Sync".

2. Log on if you already have an EndNote Online account.

3. Choose "Enable Sync ". If you do not have an EndNote Online account, click choose "Enable Sync" directly and then "OK". Then follow the next two steps.

4. Choose "Sign Up".

5. Submit the email address you want to use for the EndNote Online account.

6. Choose "Submit". In the next widow you need to provide the data that are required. To complete the registration, choose  "Done" in the next window.

 

How to synchronize your library with EndNote Online

From the main menu in EndNote, choose "Edit" , "Preferences" and "Sync". MAC users will find the preference menu under "EndNote 21".

7. Tick "Sync Automatically".

8. Click "OK" to complete.

9. From the main menu in EndNote, choose "Library" and "Sync".

10. If you get a warning about synchronization, choose "Yes" . You will now be asked to create a back up before the synchronization. We recommend that you do this if you do not have an existing, updated back up.

11. Choose "Sync Status" (11) in the left pane to get information about the synchronization.

12. The sync status is shown in the middle of the window together with information about the local desktop library and the online version.

If you have ticked of for automatic synchronization (recommended), the library will usually be synced when you open and close it (if changes have been made) while the library was open).

13. If automatic synchronization has not been selected, you must remember to sync manually regularly using the sync button ("Sync Now").

 

How to use your synced library in EndNote Online on another computer

 

To use your online library on a new computer, create an empty library and click on the Sync-button (11). You need to log on with your EndNote Online user and choose "OK". The content in the online library will now be downloaded to your new local library. In the future, changes done in the library on computer 2 will be synced with EndNote Online and then with the library on computer 1, and visa versa. We recommend that you select  automatic sync also in computer 2..

You can access and use your library directly in EndNote Online (http://web.endnote.com).

Remember that all changes done in one library version (e.g. deleting a reference), will happen in the other libraries.

EndNote Online usually works safely and stable, but we recommend that you make back up from the desktop version as an addition security regularly.
