Unformatting and Removeal of EndNote Codes

EndNote citations in your manuscript are normally formatted (they look like ordinary citations), but sometimes it is necessary to unformat the citations. Unformatted citations look like this (in addition the reference list will be gone):

Unformatted citations are necessary if you want to merge the text from two documents, both having citations from EndNote (they must be from the same library). The citations in both documents must be unformatted.

1. Choose "Convert citations and bibliography" from the EndNote menu (PC users). Mac-users choose "Tools" on the right side of the EndNote menu.

2. Choose "Convert to Unformatted Citations". If you have a large documents with many citations we recommend that you do the unformatting twice. All citations should be like this: {Doe, 2024 #5. In addition, there should be no reference list. You can now merge the text of the two manuscript (e.g. by copy and paste).

3. Choose "Update Citations and Bibliography" to get all citations in the new document formatted in the style you have chosen. A new, updated reference list should be generated in the end of the manuscript.

If the error window "Select Matching Reference" appears when you reformat the manuscript, this is probably because there is one or more discrepancies between the references used in the manuscript and the references in the active library. You can check our "Frequently Errors" page for information on how to fix this or contact the library for help.

When EndNote inserts citations into the text i Word, fields codes are also inserted (these are not visible in the manuscript, but work behind the scene). The field codes are necessary for Word's and EndNote's cooperation and functions. Some journal publishers require these field codes removed from a manuscript before it is submitted to the journal electronically (this will cause the citations and the reference list to become pure text and they can not be updated by EndNote anymore). You can remove field codes from the EndNote menu in Word.

1. Choose "Convert Citations and Bibliography" from the EndNote menu (PC users). MAC users choose "Tools" on the right side of the EndNote menu.

2. Choose "Convert to Plain Text".

3. EndNote will now create a copy of the manuscript without field codes. The original manuscript is kept unchanged and it is important that you keep this file safe in case you meed to change citations in the manuscript later (using EndNote). The copy without field codes must be saved with another name than the original and can then be sent to the publisher. It is not possible to restore EndNote citations in a document where field codes have been removed.

A manuscript version without field codes can also be used if you need to do manual changes in citations or the reference list that can not be obtained using EndNote. This is a last resort option and should be done when the manuscript is complete.
