Organizing Your Library

You can organize the references in your library into groups. Groups can be project based or they can be topic based.

Manual groups:

1. Choose "Groups" from the main menu.

2. Choose "Create Group".

3. Give your group a name.

The new group is ready and you need to fill it with content. One way is to drag references from the reference list into the group on the left pane (you will see a +-icon when you hoover over the group name and then you can release references into the group). It is more efficient to do a search for the references that you intend to include in the group and then drag the whole search result into the group. You can add new references to a group later if needed.

The same reference can be added to multiple groups. Adding references to groups do not create duplicates. The content of the groups are "shortcuts" the reference in the main group "All references". You can also delete references in a group (right-click on the reference in the groups and choose  "Remove Reference from Group") or the whole group (choose "Delete Group" from the "Group" menu). Nothing in your library is deleted when you do this.

Smart groups:

A smart groupt can fill itself with content and can also update itself automatically later when you add new references to your library. For this to work, you need to define the content for the smart grup by creating a search strategy.

1. Choose "Groups" from the main menu.

2. Choose "Create Smart Groups".

3. EndNote opens a search window where you must define the content for the smart group and give it a name.

4. Fill in relevant search terms and combine them using "AND" or "OR". You can also specify which fields the search terms should be searched in.

5. Choose"Create" to activate the smart group.

The new smart group will now be filled with content from your library according to the search strategy. If you add new references to your library in the future, any references matching the search criteria will be automatically added to the smart group.

It is not allowed to add remove individual references from a smart group. This is because the smart group is based on a logic - the search strategy. If you are not satisfied with the smart group, it can be deleted (choose "Delete group" from the "Groups" menu). It is also possible to improve the smart group by editing the search strategy (From the "Groups" menu choose " "Edit group" and update the search strategy).

Group set:

One or more groups can be organized into group sets.

Choose "Groups" from the main menu and  "Create Group Set".

1. Give a name for the new group set. You can now drag existing groups into the new group set or create new groups within the new group set.

2. You can hide the content in a group set by clicking on the arrow on the left side of the name.

You can delete a group set but bear in mind that all groups within the group set will also be deleted. If you want to keep some of the groups in a group set you just drag them out of the group set before deleting the latter.

You can label and organize references using color tags. This can be a more visual alternative to groups.

1. Choose "Tags" from the main menu to create tags.

2. Choose "Create Tag".

3. In the next window you can name the tag and choose a color.

4. Finish choosing "Create Tag".

5. The tags are listed in the left pane under the group set "My Tags". You can add a tag to one or more references by highlighting them and dragging them over to the tag name in the left pane. You can also search for a list of references that you want to label with the same tag (just the drag the search result over to the tag name). Tags can also be administrated for a reference using the edit mode in the right pane.

6. Color tags are display in the reference list in your library on the right side of the title.

You can label a reference with several tags.

The reference list in your library is usually sorted alphabetically by the first author. but this can be changed.

1. You can click on a column title to change the sorting. E.g., in the example below "Year" is clicked changing sorting into the most recently published references coming first. A new click on "Year" will display the oldest references on the top. To return to the alphabetical sorting, click "Author".
